Service Planning Module Setup

Streamline Volunteer Management and Keep your Team in Sync using the Mobile App!

With Service Planning integrated with the Mobile app, ministry team volunteers can...

  • Accept or Decline Volunteer Requests 
     
  • View assignment details, including instructional event notes, event schedules, rehearsals, and robust song details for worship service teams.
     
  • Check their schedule and update availability

Pre-Requisites

All administrative setup and configuration is managed within Service Planning. 

The Mobile App simply mirrors the event assignments and other settings you've already configured! 

Just enable the Service Planning Module (below), and you'll be off!

Note: Your organization must purchase Service Planning to enable the Service Planning module within your Mobile App.

Enable the Service Planning Module

(1) In the sidebar menu, navigate to Modules > Enable Modules and toggle on Service Planning. Service Planning will appear in the sidebar menu under Modules.

(2) Under Modules, in the sidebar menu, click Service Planning.

(3) Customize the name and icon that displays in your Mobile App menu by selecting the Pencil icon or clicking the Menu icon box (below).

(4) Edit the Volunteer Welcome Message text to modify the welcome text users will see when they open the Service Planning module in your app.

(5) Click Publish to make the Service Planning module available within your App! 

Important: The Service Planning Menu item will only appear in your Mobile App menu for permissioned users after they log in

In other words, only volunteers with the Service Planning role of Helper (or greater) will see Service Planning in your mobile app after they log in. 

First Time Use:

When an individual taps on Service Planning for the first time, they'll see the Welcome screen (above). Once they click on Get Started, they'll be taken to the My Assignments screen

Note: The Welcome Screen only appears once. After the first use, the My Assignments Screen becomes the landing page). 

 

Volunteer Functions within the Service Planning Module

The following tools are available for your volunteers within the Service Planning Module: 

  • Manage Service Assignments: Accept, Decline, or mark as Tentative - including the ability to add notes.
  • View Assignment Details: This includes...
    • Event Service Flow (if set up)
      • Additional Service Event Details: Such as Notes, Song details (like key or bpm), Audio/Video links, or other associated files (such as chord sheets).
    • Other Volunteers: Other Teams and individuals who are serving at the event
    • Rehearsals (if set up)
    • Event Files: Other files you've uploaded relevant to the event (if set up)
  • Manage Availability: Volunteers can block times they'll be unavailable to serve (such as vacation), simplifying administrative scheduling.

 

Manage Service Assignments

The My Assignments screen serves as the landing page of the Service Planning Module. Here, volunteers can quickly review assignments they've accepted or respond to new assignments. 

  1. To respond to a new assignment, tap the Accept, Tentative, or Decline buttons.
  2. A confirmation screen will appear. Add any notes if necessary, then tap the Accept, Tentative, or Decline confirmation buttons.
  3. After confirmation, a notification email, including any notes added, will be sent to the team leader(s).

How to Change Assignment Status

From the My Assignments screen, volunteers can update service assignments they've already accepted or declined. 

  1. Tap on a previously accepted or declined assignment.
  2. At the top right, tap on the current assignment status, whether Accepted, Tentative, or Declined.
  3. On the screen that appears, change the assignment to the desired status.

Note: If a previously accepted assignment is declined, a confirmation screen will appear where notes can be entered as needed. 

Once confirmed, team leader(s) will receive an email notification regarding the declined assignment and any notes from the volunteer.

View Assignment Details

Tap an assignment, and a volunteer can view four sections of each assignment: Service Flow, Assignments (other individuals serving), Rehearsals, and Files.

Each of these areas displays the information set up within Service Planning under each corresponding Event tab (below).

Note: Not every section may contain information, depending on how you've set up your event.

Service Flow

Service Flow displays the information set up under the Event Flow tab within Service Planning.

If you tap on a Song within the Service Flow, the information set up for that song will appear.

Assignments, Rehearsals, and Files

  1. Assignments display other individuals and service teams that are part of your event.
  2. Rehearsals display any scheduled rehearsals.
  3. Files displays any files that are associated with your event or files associated with songs within your Service Flow.

Each of these screens are displayed below, from left to right, respectively.

Manage Availability to Serve

Volunteers can add blocked dates and times when they're unavailable to serve or be scheduled, such as when they're away on vacation. 

  1. On the My Assignments screen, click the My Availability button.
  2. Any current dates or times that have been 'blocked' will display in list view.
  3. Click the Add button to add a new blocked time (or click an existing blocked time if changes are needed).
  4. Add the dates and times you'd like to block as needed.
  5. Toggle on All Day if the blocked date(s) span the entire day.
  6. Click Save. Your new blocked dates will appear sequentially within the blocked dates list.
