Global permissions apply to all individuals in your database who don't have either a permissions Role or a Leader Role assigned to their profile. In other words, any individual who has been given login credentials to your database but does not have other permissions will inherit the permissions you configure here.
To access Global Permissions, click on the Gear Icon, then select Permissions.
The Global Permissions screen will appear (below).
Field Descriptions and Usage:
Allow Users To Update Their Own Contact Information?
- We recommend "Yes, propose changes and edit profile image."
- When a change is proposed, it will create an Admin message that must be approved or denied.
Allow Primary Family Members To Update The Entire Family?
- We recommend "Yes"
Allow People To Create Their Own Accounts?
- Selecting Yes or No will display or hide the "Don't have an account" link that appears on the login screen. When visible, clicking this link allows anyone to create an account from your login screen.
- We generally recommend selecting "No."
Assign New People to a Default Group?
- When new profiles are created, they will be automatically added to this Group.
- This includes new profiles created manually by staff or automatically via Forms and Workflows.
- Important: Any new profiles created via Check-In will be assigned to the Group specified in Check-In Station Settings rather than the default Group specified here. Learn more about Check-In Station Settings.
Enable Directory?
- This depends on whether you want individuals to be able to see each other's contact information. If yes, we recommend creating a group called "Directory" and adding all your regular attendees and members. Once created, select this group from the provided drop-down menu. Afterwards, select the default fields you'd like to appear in your directory.
For more details and tips on setting up a directory, see Viewing the Directory.
Important Notes
- These settings apply globally to all users with login access who have not been given other permissions. Ensure they align with your organization’s privacy and user management policies.
- Regular reviews of global permissions are recommended to maintain database integrity and user experience.
