Provide your team access to update or access specific types of forms or form features.
For example, a children's ministry coordinator can see VBS registrations or parental permission forms but not the online donation submissions from your giving form.
How to Provide Form Access by Category
Under the Gear Icon found at the top right of the header, click Permissions in the dropdown menu. Next, click the Roles tab (See below).
Click the pencil icon to edit a role, scroll to the Forms heading, and click the Enable checkbox if it's not already selected. Next to each form category, select your desired permissions.
Note: When editing a form, categories can be assigned to forms under Form Properties.
Form Permission Options
Fine-tune form access by category using the options provided.
- Create: Create a form
- Edit: Provides access to edit a form.
- Delete: Provides access to delete a form.
- View Responses: Provides the ability to view, download, or delete form submissions.
- Issue Refund: Provides the ability to issue refunds IF the form includes payment options.
Form Permissions to Hide Giving History
As an example, a common ministry need is to provide access to manage forms but hide financial data (forms that show donation history).
Since donation history only displays when viewing form responses, remove the ability to View Responses and Issue Refunds on Forms assigned to the General Donation or Special Donation categories (example below).
Note: To learn more about managing permissions within Amplify People, see Permissions and Roles.
