Smart Check-in

To speed up and simplify check-in for your ministry, Smart Check-in pre-selects an individual's check-in group based on check-in history, time of day, and other criteria.

For example, let's assume a ministry with two services and separate children's classes for the first and second services.

  • Rachel Rivera typically attends the "1st Service Butterflies" class, so when the Rivera family arrives on Sunday morning at 9:20, the "1st Service Butterflies" group is pre-selected, and one click is all the confirmation needed to check her in.
  • But if the Riveras decide to attend the 2nd service and arrive at 10:55, the "2nd Service Butterflies" class is suggested since that's what other children Rachel's age are checking into.

Note: Smart Check-In is enabled by default. In other words, it's already turned on. No setup is needed 😊

Understand How Smart Check-In Pre-selects Groups

  1. Suggested Groups: As each person checks in, Smart Check-in looks at the time of week, recent check-in history, group membership, and other criteria to suggest up to three groups that show at the top of the group list.

  2. Pre-selection: When possible, based on those criteria, Smart Check-in pre-selects a group (or a set of groups) so that a confirmation tap on the person's name is all that is needed.

Note: iOS (iPad) Check-in displays suggested groups but does not pre-select them. We hope to add pre-selection to iPad Check-in at a later date).

Suggested Groups

The Group Selection window will show up to three "Suggested Groups," if available, at the top of the listing. All "Other Groups" will be listed below, with "member-of" groups listed first, then any other groups available to check into. Note: All existing Check-In station-specific settings, such as "Only show groups with this property" or "Have to be a member of the group," are respected.


Group Suggestion Ranking Criteria:

Suggested groups are the first three groups based on the criteria below, in the order listed.

  1. Recent history this time of week: In the last 5 weeks, the Group (or group combo, if the person checks into multiple groups at the same time) most often checked into during this timeframe (if tied for "most often," most recent first). "This timeframe" means this is the current time of the week (weekday and time), plus or minus 30 minutes.

  2. Active membership and station check-ins: Other groups the person is an active member of that have been checked into at this station in the last 30 min.

  3. Date of Birth (DOB) and station check-ins: If a DOB exists, other groups checked in from this station in the last 30 min by people +/- one month in age (if a DOB exists). 

  4. Active Group membership: Groups the person is an active member of. 

  5. Inactive membership and station check-ins: Other groups the person is an inactive member of that have been checked into at this station in the last 30 min.

  6. Inactive Group membership: Groups the person is an inactive member of.

  7. Recent history based on the day of the week: Groups the person has attended at any time on the current day of the week in the last 5 weeks

  8. Recent history based on any day of the week: Groups the person has attended other days of the week in the last 5 weeks (in most recent priority)

Group Pre-selection and Making Changes

If Smart Check-in can identify one of these groups (or group combos, if checked into at the same time) as a clear priority, that Group is selected when the family page loads. Users can confirm the selection by clicking the checkbox for that individual without going to the Group selection list. However, they can click the Group to change it if necessary. 

Smart Check-In Station Settings

These options are available for each Station in Settings > Check-in

  • Ignore Attendance History for Suggested Groups: Use this checkbox at the start of a new school year or any time a break from recent (last five weeks) attendance is needed.
  • Important: This checkbox resets after four weeks (or you can uncheck it manually). 
  • Testing: Show Group Suggestions as if it were this date and time: Use this setting to test Check-ins to see how your setup functions. Unless unchecked, this field auto-re-sets daily.
  • Important: This setting does not affect iOS (iPad) Check-in.

How to View Suggestion Reasons 

Log in as an Administrator and run Check-In using any method except Kiosk. Select a family and click on the pre-selected Group. An information icon will appear on the Select Group window. On hover, you can see the criteria that Smart Check-In used to suggest this Group.
